Card 40 explained customer reporting and communication. It focused on what the customer sees: receipt confirmations, execution confirmations, debit and credit visibility, delay messages, failure messages, return messages, fee visibility, references and communication quality. Card 41 moves behind the customer screen and into the operations floor. This is where the bank watches the actual movement of payment work.
Internal reporting for operations is not the same as customer reporting. Customer reporting must be clear, safe and simple. Operational reporting must be detailed, searchable, controlled and action-oriented. It must show what is moving, what is stuck, what failed, what returned, what needs repair, what needs approval, what is close to cut-off, what is aging, what is creating customer impact, and what requires escalation.
A payment operations team cannot manage thousands or millions of payments by looking at individual records one by one. They need daily dashboards, queues, exception lists, pending reports, reject reports, return reports, ageing views, volume views, service level views and performance reports. These reports help the team understand the health of payment processing. They also help managers allocate staff, compliance teams identify control pressure, technology teams identify system bottlenecks, and business teams understand service quality.
A practical example: Malla Bank starts the morning with many payment items submitted from mobile banking, internet banking, corporate file upload and API channels. Some items are waiting for validation. Some are waiting for customer approval. Some are pending sanction screening. Some were sent to clearing. Some received external acknowledgements. Some failed due to invalid account information. Some returned from Sravanthi Bank. Some are delayed because a clearing window is closed. Without internal reporting, Malla Bank cannot know which items need action and which are moving normally.
